What the EFD Staff app and the staff handbook collect, why, where it is kept and for how long.

This covers the EFD Staff Discord application and the staff handbook it signs people in to. Both are run by the Escape From DayZ staff team for moderating the Escape From DayZ server. It doesn't cover Discord itself, the game, or the server's other tools, which have their own policies.
Two kinds of people#
- Staff sign in to the handbook with Discord and use the app's slash commands in the staff Discord.
- Players never use the app. Staff use it to keep records about conduct on the server.
If you are staff#
When you sign in, Discord asks you to let the app see two things, and only those two:
- who you are (
identify): your Discord user ID and your name; - your roles in the staff Discord (
guilds.members.read), so it can check you hold a staff role.
It can't read your messages, see your other servers, post as you, or see your email.
What is kept:
- A sign-in cookie in your browser. It holds your Discord ID, your name, and the token Discord issued for this sign-in, encrypted so only the site can read it. It lasts at most seven days. Signing out deletes it and cancels the token with Discord. It is the only cookie the site sets, and it exists only to keep you signed in.
- Your name and ID on anything you change. Every case, update and strike in the tracker records who made it, whether from the website or a slash command. So does the tracker's change log. This is how the team keeps staff actions accountable.
Your staff role is checked with Discord again every ten minutes. When it is removed, your access ends.
If you are a player#
Staff keep records about behaviour on the server so the rules can be applied consistently. A record can hold:
- your Steam64 ID, the names you have used in game, and your CFTools ID;
- what happened, in the words of the member of staff who wrote it;
- links to evidence, such as clips, screenshots, or the ticket or Discord thread it came from;
- any strike, in the format the staff strike system uses.
These records are used only by staff, only for moderating the server: deciding tickets, applying the strike system, and handling appeals. They are never sold and never shared outside the staff team. IP addresses are not stored in these records.
Where it is kept#
- Cloudflare hosts the handbook and its database. As with any website, Cloudflare handles the connection itself, including your IP address, to deliver the page.
- Discord carries the sign-in, the slash commands, and a staff-only channel where changes to the tracker are posted.
How long#
- The sign-in cookie lasts at most seven days.
- Records about players are kept for as long as they are needed to run the server fairly. That includes after a wipe, because bans and strikes carry over. Under the strike system, a strike stops counting once a player goes a full year without a new one. The record itself is kept so an appeal can be checked.
- A record found to be wrong is marked void, with the reason, rather than edited out of history.
Asking about your data#
To ask what is held about you, to point out something wrong, or to ask for something to be removed, open a ticket in the Escape From DayZ Discord. We will answer. Records needed to enforce an active ban may be kept while it applies.
Changes#
If this changes, the date at the top changes with it.
